What it does

Every letter, notice, RTI request or order that reaches the office gets an ID and a barcode at the counter. From then on it moves between desks only by scan at handover, a turnaround clock runs on it with reminders and escalation, and the dashboards show who holds what and for how long. Nothing goes missing without the last scan saying where.

Who uses it

The receipt clerk enters the inward document, tags it and captures its details. The concerned official examines it and records the action taken. The section head supervises movement and pendency; the head of the office marks documents and watches the dashboards.

How it runs

The document is registered with a DAK ID and a barcode, marked to an official and handed over only after the scan, the action is recorded while the clock sends reminders and escalates, the resolution is uploaded, reviewed, closed and archived, and the dashboards show pendency by officer and an alert for anything untraceable.

In government, and in a private business

For a department or an authority, “where is that file” has an answer on a screen, and RTI and court deadlines are tracked from the day the letter arrived. It links to the legal case and property modules, so a notice and its case are one thread.

A law firm, a hospital or a factory receiving notices, invoices and inspection letters has the same custody problem at a smaller counter. Who in your office can say which desk holds last week’s tax notice?
